Event Policies

Welcome

Welcome to organized play at Let’s Roll Games.

 

Our goal is to create a safe, welcoming, inclusive, and fun environment where players of all experience levels can enjoy games, build friendships, and participate in a thriving community.

 

These policies exist to:

  • encourage fair play

  • protect players and staff

  • create a welcoming environment

  • support healthy competition

  • ensure everyone can enjoy our events

 

Participation in organized play events constitutes agreement to follow these policies.

Community Standards

Respect for Others

All participants are expected to treat others with:

  • courtesy

  • honesty

  • patience

  • good sportsmanship

  • respect for personal boundaries

 

This applies to:

  • players

  • spectators

  • judges

  • volunteers

  • employees

  • online community members

 

Prohibited Conduct

The following behavior is prohibited:

  • Harassment or Discrimination

  • Bullying or Hostile Behavior

  • Inappropriate Conduct

 

Personal Hygiene

Because organized play occurs in shared public spaces, all participants are expected to maintain reasonable personal hygiene and wear appropriate attire.

Store staff may address situations involving severe hygiene issues that negatively affect the experience of others.

Inclusion & Accessibility

Welcoming Environment

Players are expected to help foster an inclusive community. We actively encourage participation from:

  • new players

  • families

  • casual players

  • competitive players

 

New Player Expectations

Experienced players should:

  • demonstrate patience

  • explain rules respectfully

  • avoid intentionally overwhelming new players

  • encourage learning and participation

 

Accessibility

We will make reasonable efforts to accommodate accessibility needs whenever possible.

 

Players needing accommodations are encouraged to speak privately with staff before events.

Organized Play Event Rules

Event Participation

Participants must:

  • register properly

  • follow event instructions

  • comply with game-specific rules

  • arrive on time

  • use legal game materials

 

Late arrivals may receive penalties or forfeits depending on event structure.

 

Fair Play

Cheating of any kind is prohibited.

 

Examples include:

  • marked cards

  • loaded or manipulated dice

  • falsifying match results

  • intentional misrepresentation of game state

  • bribery or collusion

  • outside strategic assistance during matches

  • stalling for time

  • intentionally misleading opponents

 

Staff and judges may investigate suspected cheating.

 

Penalties may include:

  • warnings

  • game losses

  • match losses

  • disqualification

  • suspension from future events

  • permanent bans

 

Sportsmanship

Players are expected to:

  • communicate clearly

  • resolve disagreements calmly

  • accept rulings respectfully

  • avoid unsporting conduct

 

Unsporting conduct includes:

  • rage behavior

  • excessive taunting

  • abusive language

  • intentionally making opponents uncomfortable

  • refusal to follow event procedures

 

Rules Disputes

If players disagree on rules:

  • Pause play if appropriate

  • Alert a judge or staff member

  • Allow staff to resolve the issue

 

Staff rulings are final during the event.

 

Publisher rules and tournament policies supersede house interpretations unless otherwise announced.

Game Materials & Event Standards

Legal Components

Players are responsible for bringing:

  • legal decks/armies/components

  • required accessories

  • tokens/counters

  • legal miniatures where applicable

 

Sleeves & Marked Components

Sleeves or components that create identifiable advantages may be prohibited.

Staff may require replacement sleeves/components during events.

 

Digital Devices

Phones and electronic devices:

  • must not disrupt events

  • may not be used for outside assistance during matches

  • may be restricted during competitive play

  • Headphones may be prohibited if they interfere with communication or event operations.

Safety Policies

Weapons

Weapons are prohibited inside the store except where explicitly permitted by law and store policy.

Threatening behavior involving any object will result in immediate removal.

 

Alcohol & Substances

Illegal substances are prohibited.

 

Intoxicated or impaired participants may be removed from events or denied participation.

 

Smoking and vaping are not permitted.

 

Emergency Situations

Participants must follow staff instructions during:

  • medical emergencies

  • evacuations

  • severe weather

  • safety incidents

Policies Regarding Minors

Parent/Guardian Responsibility

Parents and/or guardians remain responsible for minors in the store. Minors under the age of 13 must be accompanied in the store by a parent/guardian of at least 18 years of age when attending events.

 

Store staff are not babysitters or childcare providers and organized play events should not be considered child care.

 

Pick-Up Expectations

Minors over the age of 13 should be picked up promptly after events conclude.

 

Repeated late pickups may affect future participation.

 

Adult Interactions with Minors

Inappropriate interactions between adults and minors will not be tolerated.

 

Staff may intervene in situations involving:

  • harassment

  • inappropriate communication

  • predatory behavior

  • unsafe conduct

Photography, Streaming & Online Conduct

Photography & Video

Store events may occasionally be photographed, recorded, or live-streamed for promotional purposes.

 

Participants may request not to appear in promotional content.

 

Disruptive or invasive recording is prohibited.

 

Online Community Standards

This code of conduct extends to:

  • store Discord servers

  • social media groups

  • organized play chats

  • event-related online interactions

 

Online harassment connected to store activities may result in in-store penalties.

Staff Authority & Enforcement

Staff Authority

Store employees, judges, and event organizers have authority to:

  • interpret event procedures

  • issue penalties

  • remove disruptive individuals

  • protect community safety

 

Failure to follow staff instructions may result in removal from the event or store.

 

Reporting Concerns

Participants are encouraged to report:

  • harassment

  • cheating

  • unsafe behavior

  • discrimination

  • policy violations

 

Reports may be made privately to staff whenever possible.

 

Retaliation against individuals making good-faith reports is prohibited.

 

Enforcement Levels

Possible consequences include:

  • verbal reminders

  • formal warnings

  • game or match penalties

  • removal from events

  • temporary suspensions

  • permanent bans

 

Severe misconduct may result in immediate removal without prior warning.

 

Right to Refuse Service

Let’s Roll Games reserves the right to refuse service or participation to individuals whose behavior threatens the safety, integrity, or inclusiveness of the community.
